Bolsover Camera Club Constitution
(Revised June 2005)
1)  Name and Aims
The club shall be called Bolsover Camera Club and membership shall be open to all, irrespective of age, gender, race, physical ability, religious or sexual persuasion.
The purpose of the club is to provide a forum in which any person with an interest in the art and practice of photography may meet in a sociable and friendly atmosphere to exchange views and opinions and talk with like minded people about their interest. It is hoped that members may thus find encouragement, inspiration, advice and fellowship through participation in the club's activities and so enhance their skills in, understanding of and enjoyment of photography.
2) Membership
Membership of the club implies an undertaking to comply with and to
abide by the rules contained in this constitution.
There shall be four categories of membership.
Ordinary Membership: of the Club shall be determined by payment of
the due subscription.
Family Membership:   Payment by over 18s, pensioners and
unemployed of the appropriate subscription allows for one family
member.   A family member may attend all of the normal meetings and
take part in the activities of the club but is not entitled to vote at the
annual or extraordinary general meetings.
Life Membership: Conferred on existing members in recognition of
special services to the Club.
Honorary Membership: Conferred on non-members in recognition of
special services to the Club.   Honorary Membership may be
withdrawn at the Annual General Meeting if agreed by members.
Honorary Life Vice Presidency: Conferred on existing or past
members in recognition of outstanding services to the club.
Nominations for Life Membership and for honorary posts must be
submitted to the committee and elections made at the Annual General
Meeting.


All members except Honorary Members shall be eligible to vote at the AGM and any specially convened meeting in accordance with Clause 7 of this constitution. See also clause 12
3)  Annual General Meeting
The Annual General Meeting shall be at the end of the season each year and 21 days notice shall be given by the Honorary Secretary to all members.
Motions to be discussed at the AGM must be pre-notified in writing to the secretary with the appropriate notice to be determined by the secretary.
4)  Officers
The officers to be elected at the Annual General Meeting are:-

  1. Vice President
  2. Honorary Secretary
  3. Honorary Treasurer
  4. Programme Secretary
  5. Competition Secretary
  6. External Competition Secretary
  7. Publicity Officer
    h) Equipment Officer

i) Two NEMPF delegates
j) Projectionist
k) Auditor
1) Two Trustees
5 Executive Committee
The affairs of the club shall be managed by a committee consisting of:-

  1. The President who shall take the chair
  2. The officers of the club as set out in clause 4a) to 4i) of this
    constitution and
  3. Up to four members who shall be elected at the Annual General
    Meeting
  4. The Honorary Life Vice Presidents
  5. The immediate Past President together with

f) Any other member who the Committee consider has an expertise which will help it in its deliberations provided that the number of persons co-opted shall not exceed one third of the Committee itself.

 

6) Eligibility
With the exception of the Vice President, all officers and committee members are eligible for re-election each year
The Vice President shall take over the duties of the President if the President is prevented from carrying out his/her duties and shall become the President in the year following his/her election
7)Special Meetings
Special meetings may be convened by the President or on requisition signed by at least one quarter of the members stating the object and sent to the Secretary at least fourteen days before the date proposed
8)  Quorum
At Committee Meetings, four shall form a quorum and at General Meetings, 30% of the membership.
9)  Secretary's duties
The Secretary shall keep the minutes of all Annual, Extraordinary General and Committee Meetings and conduct the correspondence of the Club.
10)  Treasurer's duties
The Treasurer shall collect all subscriptions and all monies due to the Club after the authorisation by the Committee.   He shall, at the close of each Club year prepare an income and expenditure account and balance sheet for that year.   The accounts so prepared shall be audited by the Auditor appointed by the Annual General Meeting.
11)  Subscriptions
The Annual General Meeting shall fix the subscription for the ensuing year.    Subscriptions become due at the first meeting of the season.
12)  Subscription default
With the exception of Life Members and Honorary Life Vice Presidents, no member may vote at any meeting nor enter any club competition until their subscription for that year has been paid. The name of any member whose subscription is more than one year in arrears may be removed from the membership list by order of the Committee.


13 Voting Rights
At the Annual General Meeting and any Extraordinary General Meeting. The President may not vote except to exercise a casting vote if necessary.   Honorary Members may not vote.   All other members have full voting rights (except as in (12) above)
In Committee the President has the casting vote when necessary and Honorary Life Vice Presidents do not vote.   Other elected members have full voting rights.
14) Selection Panels
The Annual General Meeting or any Special Meeting may appoint members to serve in panels to select entries for competitions and exhibitions.   The panels so appointed may invite other members from time to time to assist in the selection of entries.
15)  Competition Rules
Competition rules shall be fixed each year at the Annual General Meeting.
16) Equipment Officer
The Equipment Officer shall be responsible for all the equipment owned by the Club and use of it by members.   He shall be responsible to the trustee for an inventory of the equipment and shall present such an inventory to the Annual General Meeting.
17)   Trustees
The Trustees shall have all the Club's assets vested in them.   The position of Trustee shall be a lifetime appointment except where a Trustee wishes to relinquish the position.
18) Alterations to the Constitution
No alteration to the rules in this constitution shall be made except at the Annual General Meeting or at an Extraordinary General Meeting.
19) Termination
In the event of the Club ceasing to exist, its assets shall be realised and the monies paid to a charity agreed by the remaining members at the time the Club ceased its activities.

 

Comprtition Rules

 

General

  1. It  is expected that  members will observe the spirit of these rules particularly should any doubt regarding the eligibility of an entry occur.
  2. The interpretation of the rules shall be the responsibility of the competition secretary  whose decision shall be final.
  3. All members are eligible to enter the competitions
  4. An image may be used only once in a particular format (i.e. as a colour print, mono print or projected image) in one season ( apart from its use in the end of season ‘honours’ competitions).   For the purposes of this rule, an image which is virtually the same as one previously entered with only slight variation in either content or treatment is regarded as the same image.   Any variation in treatment of a subject should result in an image which is substantially different from a previous version.   Otherwise it is regarded as the same image. 
  5. Although an image may be used once only in  a particular format in a given season, it may be used in subsequent seasons in a different format.
  6. A ‘Panel’ is to consist of either  three prints, to be viewed as a set according to the author’s viewing plan, or  three projected images to be viewed as specified by the author.
  7. The closing date for any competition will be at the absolute discretion of the competition secretary.
  8. A written list of entries should be submitted to the competition secretary who will have the right to restrict numbers to a suitable total for the judge to handle in the time available.   Entries may be removed from the bottom of the list and the competition secretary’s decision will be final.
  9. If any competition attracts only one entrant there will be no award for that round or competition but the entry may, at the discretion of the author, either be carried forward to the next round or be submitted to the judge for comment, but not both.   In either case the entry may be used as part of the author’s submission for the Photographer of the Year competition.
  10. Members who consider themselves as beginners may either submit work in the mainstream bimonthly competitions or submit work for comment only.    However once they opt for the first of these options they may not revert to the second in future competitions.

Prints

  1. Must be mounted on card with the author’s name and the title shown on the reverse of the mount.
  2. Mount size is unlimited but the competition secretary has the right to refuse to be responsible for transporting any mount exceeding 50cm. x 40cm. (Standard competition size)

Slides

  1. Must be in 2in. x 2in. mounts and correctly spotted  (when the slide is viewed the right way up, the spot should be in the bottom left hand corner) and carry the title and the author’s name on the mount.

Projected Digital Images

    • Should be in high quality JPEG format.
    • Resolution to be 72 dpi.
    • Maximum width 1024 pixels and maximum height 768 pixels.
